Add Your First Customer
Creating a Customer Record
Keeping customer records in KeyBolt means you'll never lose a phone number, forget a key code, or have to ask "have we been here before?" Open the Customers tab and tap + New to get started.
Required and Optional Fields
The only required field is the customer's name. Everything else is optional but recommended:
- Phone — primary contact number. Used for SMS notifications like "On My Way" texts and invoice delivery.
- Email — used for emailing invoices and payment receipts.
- Address — the customer's primary location. Useful for mapping dispatch routes.
- Notes — free-text field for anything you want to remember: gate codes, dog warnings, parking instructions, preferred contact times.
Locksmith-Specific Fields
This is where KeyBolt stands apart from generic CRM tools. Each customer record has dedicated fields for:
- Key codes — store multiple key codes per customer. Displayed in monospace font for easy reading. You'll never need to dig through a spiral notebook again.
- Bitting data — the actual cut depths for keys. Separate from key codes (a key code is a reference number; bitting is the physical cut pattern).
- Safe combinations — stored securely. Only your organization can access these.
- Vehicles — make, model, year, and VIN. Essential for automotive lockout work so you know what tools and blanks to bring.
- Properties — multiple addresses linked to one customer. Perfect for landlords and property managers.
Property Manager Flag
If a customer manages multiple properties (apartment complexes, commercial buildings, rental homes), toggle the Property Manager flag on their profile. This unlocks additional features like property tracking, rekey cycle reminders, and the ability to view all properties and their service history from a single page.
