Set Up Job Templates

Why Templates Matter

Job templates are the backbone of fast job creation in KeyBolt. When you create a new job, you pick a template and it auto-fills the price, estimated duration, and line items for the invoice. This means you can go from a customer call to a dispatched job in under 30 seconds, no typing prices or remembering what you charge.

Default Templates

KeyBolt comes pre-loaded with six templates based on industry-standard pricing:

  • Residential Lockout, $125, 30 min
  • Car Lockout, $150, 45 min
  • Commercial Lockout, $175, 45 min
  • Rekey Locks, $25/lock + $75 service call, 30 min
  • Lock Installation, $75 labor + hardware, 60 min
  • Key Duplication, $5/key, 15 min

These are starting points. Every shop prices differently based on market and overhead, so you should customize them right away.

Editing a Template

  1. Go to Settings > Templates.
  2. Tap any template to open it.
  3. Update the duration or the line items. There is no price box on a template: the price you see next to it is the total of its line items, so edit the line items to change what you charge.
  4. Line items are what appear on the invoice when you use this template. For example, the Rekey template might have two line items: "Service Call" at $75 and "Rekey per Lock" at $25.
  5. Tap Save.

Creating a Custom Template

If you offer services beyond the defaults (like master key systems, panic bar installs, or electronic lock programming), create your own templates:

  1. Go to Settings > Templates and tap Add Template.
  2. Enter a name (e.g., "Panic Bar Install").
  3. Select the job type that best fits (e.g., "Lock Install").
  4. Set the duration in minutes. There is no separate price field: the price is whatever the line items below add up to.
  5. Add line items, each with a description and price. These auto-fill on invoices.
  6. Parts are not part of a template. Add the parts you actually used on the job itself, and KeyBolt takes those off your van stock there.
  7. Tap Save.

Auto-Draft a Bill

KeyBolt drops a draft invoice into your Invoices list when a job is dispatched, and again when it is marked complete, whichever comes first. It is pre-filled from the matching job template's line items. You review the draft, adjust anything that's different (extra parts, a discount, an upcharge), and hit Send Bill. This shortens the "I finished, now I need to bill" loop to about 15 seconds.

That behavior is the Auto-create draft invoice switch in Settings > Notifications, under Automation. It is on to start, and only the owner can change it.

Tip: You can reorder templates using the up/down arrow buttons. Put your most common services at the top so they're the first thing you see during job creation.
