What a Colab looks like: a call, a text, and an emailed photo, all in one thread.
Three ways shops use Colab.
Catch the after-hours misses.
When a customer calls at 9 PM and leaves a voicemail, then texts at 9:14 PM, then emails a photo at 9:32 PM, they show up as one Colab in the morning. You see the whole story, not three half-stories spread across three apps.
Hand off without re-explaining.
Mike takes the call. He has to step out, so he hands the Colab to Jess. Jess opens the thread and sees exactly what was said, the address, and the customer's question. No re-asking the customer what they need.
Turn the lead into the job.
When the customer agrees to the work, tap Convert. The Colab becomes a job with the customer details, the conversation, and any attached photos already filled in. Estimate works the same way.
What happens to a lead.
The point of one inbox is not reading. It is that the lead becomes the job without anyone retyping it.
- 1
It arrives
A call, a text, an email, a Google lead, or a request from your website. Same inbox, same thread if it is the same customer.
- 2
KeyBolt reads it
An email, a call, or an uploaded work order is read and drafted into a job: name, address, what they need, the work order number, and when. Photos and PDFs come along.
- 3
You tap Create
Review the draft, fix anything, tap Create. Job or estimate, your call. Dispatch it to a tech from the same screen.
- 4
The thread follows the job
Every later text, call, and approval lands on the job. When the bill goes out, the payment lands there too.

Common questions.
What is a Colab?▾
A Colab is a thread that ties together every interaction with one customer or lead. Calls, voicemails, texts, emails, Google LSA leads, and website requests all land in the same timeline. Your techs see the conversation, not three separate apps.
What happens when a lead comes in?▾
It lands in one thread with the customer matched to it. If it came in by email, by phone, or as an uploaded work order, KeyBolt also drafts the job from it: customer, address, what they need, the work order number if there is one, and when they want it. You review the draft and tap Create. For a text, a Google lead, or a website request you fill in the job yourself from the thread. Either way the thread follows the job, so the conversation and the work stay together.
What if the same customer calls and then texts?▾
A repeat call or text from the same number within three days rejoins the open thread on its own. If KeyBolt did open two threads, merge them in two taps. Merged the wrong one? Tap the merged chip and choose Separate. Everything goes back where it came from, and nothing is deleted.
How is Colab different from regular email?▾
Email is one of the channels that flows into Colab, alongside calls, texts, LSA leads, and your website form. You're not opening Outlook, then your phone log, then the LSA dashboard. One inbox.
Can I keep junk out?▾
Yes. Ads, verification codes, and newsletters are filtered before they reach the inbox, and a Filtered list lets you review and restore anything it got wrong. For the ones that slip through, select them and tap Report junk.
Do my techs see the customer's full history?▾
You decide. KeyBolt has owner privacy controls so you can show techs the full customer history, only recent interactions, or just the current thread.
Can my website send leads here?▾
Yes. Turn on the request page in Settings and link to it from your website. A request lands in the inbox as a lead, matched to an existing customer by phone number, and you reply from the thread.
Does Colab cost extra?▾
No. Colab is included on both Basic ($99/month) and KeyBolt Pro ($189/month) at no additional cost. Calls, voicemail, and texts need KeyBolt Pro, because they run on your KeyBolt phone line. Connecting Google LSA is a Pro feature as well. Email, the website form, and work order uploads are on both.
