What went out, next to what came in.

Most shop software shows you revenue and stops. Knowing you billed twelve thousand last month is not the same as knowing what you kept. KeyBolt tracks the money going out in the same place as the money coming in.

How it works

  1. 1

    Photograph the receipt

Expenses and vendor bills carry a picture of the receipt, so the shoebox stops being part of the process.

  2. 2

    Log the driving

Mileage per trip, kept in a form your tax return can use.

  3. 3

See what the work actually cost

Tech labour cost, commission rates that differ by day, evening, and weekend, and parts a tech paid for out of their own pocket.

  4. 4

    Know what you owe

Receivables with reminders on one side, sales tax by jurisdiction on the other, with an export that ties out for the monthly filing.

What you get.

  • Expenses and vendor bills, with a photo of the receipt attached
  • Receivables with reminders, and aging so you can see what is old
  • Mileage log per trip, ready for your tax return
  • Tech labour cost and commission rates by day, evening, and weekend
  • Parts a tech paid for out of pocket, tracked back to them
  • Sales tax owed by jurisdiction, with a line-by-line filing export
  • Import a supplier price list from a spreadsheet
  • Export customers, jobs, invoices, inventory, and your sales-tax filing, each as its own file

What it looks like on a real day.

The end of the quarter.

Instead of a shoebox and a Saturday, the expenses already have their receipts attached and the sales-tax export ties to the cent.

The job that felt profitable.

Revenue looked fine until you counted the tech’s hours, the parts, and the drive. Now you can see it before you quote the next one the same way.

The tech who buys their own parts.

What they spent is recorded against the job and comes back to them in the payout, instead of living on a text message.

Questions.

Does this replace my accountant?
No. It replaces the shoebox and the retyping. Your accountant still gets clean numbers, and gets them faster.
Can I export everything in one file?
No, and we would rather be straight about it. Exports are per entity: customers, jobs, invoices, and inventory each come out as their own file. The sales-tax filing is the one multi-sheet export.
Does it sync with QuickBooks?
Not yet. Today you export customers, invoices, and payments as QuickBooks-compatible CSV with a built-in import guide. A direct connection is built but not switched on for shops.
Can my bookkeeper have their own login?
Yes. Bookkeeper is one of the seven roles, so they see the money without touching dispatch.
Which plan is this on?
Both. Accounting is included on Basic at $99 a month and on KeyBolt Pro at $189.
