Customer records · Basic and KeyBolt Pro

Key codes out of the notebook and into something that locks.

The spiral notebook works right up until it does not. KeyBolt keeps every key code, bitting chart, and safe combination on the customer it belongs to, so the tech in the van can find it and nobody else can.

How it works

  1. 1

Put the code on the customer

Key codes and bitting go on the customer record, not on a page in a book. Vehicles carry make, model, and year. Properties carry their rekey cycle.

  2. 2

    Find it from the van

Search the customer and the code is there, on the phone, working with no signal.

  3. 3

    Decide who sees what

You choose whether techs see the full customer history, only recent work, or just the job in front of them.

  4. 4

    Keep the history with it

Lifetime revenue, last service, and every call, text, and email with that customer sit on the same record.

What you get.

  • Key codes and bitting data per customer
  • Safe combinations protected by database encryption at rest and row-level security
  • Vehicle records with make, model, and year
  • Property manager tracking and rekey cycles
  • Several labelled email addresses per customer, so office, owner, and accounts payable each reach the right record
  • Insights panel with lifetime revenue, last service, and full communication history
  • Available on the phone with no signal

What it looks like on a real day.

The customer who lost the key again.

Same house, third time in two years. You pull up the record, the bitting is there, and you cut it before you leave the shop.

The property manager with 40 units.

Each unit’s codes live under the account, with the rekey cycle recorded, so a turnover is a lookup and not an afternoon.

The tech who should not see everything.

A new tech runs jobs without the full customer history. You decide how much travels with the job.

Questions.

How are safe combinations protected?
They are encrypted at rest in the database, and row-level security means a request can only ever read rows belonging to your shop. Our security page explains what that covers and what it does not.
Can my techs see key codes in the field?
Yes, if you let them. The phone app carries them offline, so a code is readable in a basement or a parking garage with no signal.
Can I stop a tech from seeing customer history?
Yes. Owner privacy controls let you show the full history, only recent interactions, or just the current thread.
What happens to the codes on a phone if I let a tech go?
Deactivate them in Settings, and their phone wipes its copy of your shop data the next time it checks in.
Can I get my data out?
Yes. You can export customers, jobs, invoices, and inventory, each as its own file.
