Building Your Customer Database

Your customer list is one of the most valuable assets in your business. Every repeat customer, every key code, every property detail you record saves time and earns trust on future calls. KeyBolt makes it easy to build this database gradually as you work.

Creating a New Customer

  1. Go to the Customers tab.
  2. Tap + New (or the + button from any screen).
  3. Fill in the customer details:
    • Name (required) — the customer's full name or business name.
    • Phone — primary contact number. Used for SMS features like "On My Way" and invoice delivery.
    • Email — used for email invoices and receipts.
    • Address — their primary location. Helpful for dispatch mapping and location history.
    • Notes — anything else worth remembering: gate code is 4521, has two dogs, prefers calls after 9am, back door is the main entrance.
  4. Tap Save.

Locksmith-Specific Fields

Below the standard contact info, you'll find fields built specifically for locksmith work:

  • Key codes — add multiple key codes per customer. Each entry can have a label (e.g., "Front door," "Mailbox," "2019 Honda Civic"). Key codes display in monospace font for clear reading.
  • Bitting data — the actual cut depths of keys. If a customer calls needing a duplicate and you have their bitting on file, you can cut the key before you even arrive.
  • Safe combinations — stored with the same security as other sensitive data. Only your organization's members can view these.
  • Vehicles — add make, model, year, and VIN for each vehicle. When an automotive lockout call comes in, you'll know exactly what blanks and tools to grab.
  • Properties — multiple addresses associated with one customer. Essential for landlords, property managers, and commercial clients with multiple locations.

Searching Customers

The customer list has a search bar at the top that searches across name, phone, email, and address. Type any fragment and results appear instantly. You can also search from the job creation flow — if a customer calls, you can find them in seconds.

Tip: Don't wait to have "complete" records. Create customers with just a name and phone when they first call. After the job, add their key codes, bitting, and other details. Over time, your database becomes an incredibly valuable reference that no spiral notebook can match.
