Bringing Your Existing Records Into KeyBolt
If you have customer data in a spreadsheet, another CRM, or even exported from your phone contacts, you can import it into KeyBolt in bulk using a CSV file. This saves you from manually re-entering hundreds of customer records.
Preparing Your CSV File
Before importing, make sure your data is in the right format. KeyBolt accepts CSV (comma-separated values) files with the following columns:
- name (required): customer's full name or business name.
- phone (required): phone number in any format. KeyBolt will normalize it (e.g., "(555) 123-4567" and "5551234567" both work).
- email, email address.
- address, street address.
- city, state, and zip, the rest of the address, each in its own column.
- notes, anything worth remembering about the customer.
Those eight are the whole list. Name and phone are both required, and the import won't let you continue until you've matched a column to each of them.
Preparing Your File
Create a CSV file in Excel, Google Sheets, or any spreadsheet app using the column headers listed above. Make sure the first row contains the column names and each subsequent row is one customer record. Save as CSV when done.
Importing
- Open QuickBooks in the sidebar.
- Scroll down and tap Manual CSV transfer. That section starts closed, so the importer is not on screen when the page first opens.
- Under Import Customers from CSV, tap Download example CSV if you want a file with the column headers already right.
- Drag your file onto the dashed box that reads Drop a CSV file here, or click to browse, or tap the box and pick the file.
- KeyBolt shows the first 5 rows so you can check the file looks right. Tap Map Columns.
- Match each column in your file (say "Full Name") to the KeyBolt field it belongs to (say "Name"). Columns with familiar headers are matched for you. Set anything you don't want to Skip column. You can't carry on until Name and Phone are both matched.
- Skip existing customers (match by phone) is already ticked. Leave it on so you don't end up with two of anyone. Untick it only if you really mean to add everyone in the file.
- Tap the blue button at the bottom. It tells you how many it is about to create, like Import 42 Customers.
After Import
Imported customers appear in your customer list immediately. They're fully functional, you can create jobs for them, send invoices, and add locksmith-specific data (key codes, bitting, vehicles) to their profiles at any time.
