Save a Customer's Job Sites

The Places You Actually Work

The address on a customer's record is where the bill goes. Service locations are the job sites: the six buildings a property manager runs, the three branches of a store, the rental you keep getting called back to. Every customer has this section, not just property managers.

It's on both plans. Owners, managers, dispatchers and front desk can add and edit locations. It's in the phone app too, on the customer's page.

Adding a Location

  1. Open the customer and find Service locations.
  2. Tap Add location.
  3. Give it a nickname if it helps, like "Downtown store #14". Leave it blank and the address is the label.
  4. Type the address. Picking it from the suggestions fills in city, state, ZIP and county for you.
  5. Add a unit or suite and any notes: gate code, which door, who to ask for.
  6. Tick Primary location on the one you go to most. Only one per customer.
  7. Tap Save.
You may not have to type anything. If you've already run jobs for this customer, Add from past jobs sits at the top of the section and lists those addresses. Tap one and it's saved as a location.

Every Location Has Its Own Key Codes

Open a location and you'll see Secure details. This is the part that makes locations worth using, because it's per building rather than per customer:

  • Key codes and key bitting for that address.
  • Safe combinations.
  • Masterkeying: the system, the levels, what's pinned where.
  • Repair history: what you fixed there and when.
  • Rekey schedule: the last rekey date and how many months between rekeys.

All of it is encrypted the same way as the key codes on the customer record. See Store key codes securely.

Not everyone can see Secure details. Owners, managers, dispatchers and techs can. Front desk, bookkeepers and viewers see the location and its address and nothing more. Changing secure details takes an owner, manager or dispatcher.

Rekey Dates on a Location

Put a last rekey date and an interval in months on a location and KeyBolt works out the next one. A red Rekey due badge appears on that location once the date has passed.

If the customer is also marked Property Manager, that date feeds the Coming due panel on your Dashboard starting 30 days ahead, so you see it without opening the customer. See Property manager tracking.

Picking a Location on a Job

When a customer has saved locations, the new job screen shows them as buttons under Service location. Tap one and the job address fills itself in. If the call is somewhere new, type the address instead and carry on.
