Add the People at a Business Customer
Who You Actually Talk To
A property management company is one customer with four people behind it: the super who lets you in, the office manager who calls, the accounts payable clerk who pays, and the owner. Contacts are those people, saved under the customer.
It's on both plans. Owners, managers, dispatchers and front desk can add them.
Contacts are people. Service locations are places. A big commercial account usually needs both.
Adding a Contact
- Open the customer and find the Contacts section.
- Tap Add contact.
- Enter the name. That one is required.
- Put their job in the Role box in plain words: manager, AP, super, owner.
- Add their own phone, an Ext. if it's a business line, and their email.
- Tick Primary contact for the one you deal with most. Only one per customer, and it's the one your dispatcher sees first when this customer calls.
- Tap Save.
Why This Matters When a Bill Is Questioned
When you link a Colab to this customer, KeyBolt asks which contact reached out and keeps the answer. That's what you point at if a property manager ever says nobody approved the work. With no contacts on the record there's nothing to pick, so the trail stops at the company name. See Linking a Colab to a customer.
Reaching a Contact
Each contact's row has its own buttons. Email opens a composer with your shop's branding, on either plan. On KeyBolt Pro you also get Call and Text, which go through your KeyBolt phone line rather than your cell. Attachments on one email have to total under 8 MB.
Mark Who Pays the Bills
Tap Pays bills on a contact and their row gets a green marker. On a property management account that's usually accounts payable, not the person who called you, and it saves whoever chases the money from guessing.
