Archive a Colab Instead of Closing It

Archive Hides It, Close Ends It

Archive takes a Colab out of your Inbox without closing it, and you can undo it any time with Restore. Close and Cancel are permanent: there is no reopen button. So if there is any chance you will want the conversation back, archive it instead of closing it.

Archiving works on both plans, Basic ($99/month) and KeyBolt Pro ($189/month). Owners, managers, and dispatchers can archive and restore.

Archive One Colab

Open the Colab.
Tap Archive, the button just under the row of action buttons at the top.
Confirm.

It disappears from the Inbox and lands on the Archived tab. While it is archived the Colab is locked, the same way a closed one is, so nobody adds to it by accident.

Archive Several at Once

In the Inbox list, tick the checkboxes on the rows you want.
Tap Archive in the bar that appears at the top.

If some can't be archived, KeyBolt tells you how many went through and why the rest were skipped.

Finding It Again

Open the Archived tab. Archived Colabs are filed into a folder per customer, made for you, so an old property manager thread is easy to find. Colabs with nobody on them go in a folder called Unassigned. Open the folder, pick the Colab, and tap Restore. It goes straight back to your Inbox with everything still on it.

A Converted Colab Can Be Archived

You do not have to delete the linked Job or Estimate first. A Colab that already became a job archives like any other, and the job is untouched.

When Archive Is Refused

A call or a callback is still live on it. Wait for the call to end.
A Google Local Services reply is still going out. Cancel that reply from the timeline first, or wait for it to send.
Another message is mid-send. Give it a moment and try again.

How Long an Archived Colab Is Kept

A Colab attached to a job or an estimate is kept for good. That is your work history and KeyBolt does not throw it away. An archived Colab that is not attached to any job or estimate is erased about 30 days after you archive it, along with its messages and attachments. So archiving junk really does clear it out, while archiving real work just tidies your Inbox.

Tip: If a customer emails a reply into a Colab you archived, KeyBolt brings it back to your Inbox on its own. Nothing is lost by tidying up.
