Receive and Move Stock
Getting Stock In, and Moving It Around
Two everyday jobs live here: booking in a delivery from the supply house, and moving stock from the shop into a van. Both start at Inventory, then Operations.
Owners, managers, dispatchers, and techs can all do both. This is on both plans, Basic and KeyBolt Pro.
Receiving a Delivery
- Go to Inventory, then Operations.
- Under Receiving, tap Receive stock.
- Set Received at (where it landed) and the Received date.
- Add the Supplier, a Packing slip or reference, and a photo or PDF of the slip. All optional, all worth doing.
- Search each item by name, SKU, or scan code, add it, and enter how many came in. You can receive in packs instead of singles, and record what you actually paid.
- Tap Receive stock at the bottom.
One delivery, one receipt, however many items are on it.
Moving Stock Between Places
- Open the item from your Inventory list.
- Tap Stock, then pick Transfer.
- Choose where it comes from, where it goes, and how many.
- Pick how it moves:
- Move now. It lands at the other end straight away. Use this when you are the one carrying it.
- Require destination receipt. It leaves the source now and only arrives when somebody at the other end confirms it. Use this when you are handing it off.
- Save.
While a transfer is waiting to be confirmed, the stock sits in In transit and counts as available nowhere. That is deliberate. See Set Up Your Locations.
The Other Stock Actions
The same Stock button covers everything else that changes a number:
- Receive, add newly received stock to one item.
- Use or remove, stock used outside a job or a sale.
- Return to stock, a customer return you can sell again.
- Damaged or lost, stock that is gone and cannot be sold.
- Correct balance, set a location to a number you have physically checked.
Everything is on the record. Every movement is stamped with the reason, the person, and the time. Go to Inventory, then Activity to see the lot, and filter by reason or by who did it. When a number looks wrong, that is where you find out why.
