Manage Van Inventory
Know What's in Your Van
Nothing kills a service call faster than showing up without the right key blank or cylinder. KeyBolt's inventory system tracks every item across all your locations (Van 1, Van 2, Shop), so you always know what you have and where it is.
Adding Inventory Items
- Go to the Inventory tab.
- Tap Add item.
- Fill in the details:
- Name, a clear, searchable name (e.g., "KW1 Key Blank," "Schlage B60N Deadbolt," "Lishi HU66 Pick").
- Category, select from Key Blank, Transponder Chip, Lock Hardware, Cylinder, Tool, or Other.
- Starting location, where this item lives. Pick one from the list. Locations are saved records you set up first, so "Van 1" means the same thing everywhere in KeyBolt. See Set Up Your Locations.
- Quantity, how many you have on hand at this location.
- Minimum, under Stock levels. The point where this location counts as low. Set it to 5 for key blanks you use daily. Leave it at 0 and KeyBolt never warns you about this item.
- Target, under Stock levels. How many you want back on the shelf. Van restock aims for this number.
- Tap Save.
Adjusting Quantities
After each job, update your stock. Open the item and tap Stock. KeyBolt asks what happened: Receive, Use or remove, Return to stock, Damaged or lost, Transfer, or Correct balance. Type the number and save. Every change is stamped with the reason, the person, and the time, and shows up under Inventory, then Activity.
Filtering and Searching
Tap Filters above the list to narrow it down. There are five: Location, Category, Stock level (Low, Normal, or High), Listing (whether the item is for sale in your online store), and whether the item is archived. The search box next to it finds an item by name, SKU, brand, or code, and the Scan button beside it jumps straight to an item from its barcode.
