Set Up Your Locations
Where Your Stock Lives
Every item in KeyBolt sits at a location: your shop, a storage unit, or a van. Locations are saved records you set up once, so "Van 2" means the same thing on every screen. Do these first, before you add your stock.
Find them at Inventory, then Operations, then Locations. Anyone who can see Inventory can look at the list. Only an owner or manager can add or change one. This is on both plans, Basic and KeyBolt Pro.
Adding a Location
- Go to Inventory, then Operations.
- Tap Locations, then Add location.
- Fill it in:
- Location name, what you call it out loud. "Van 2", "Shop", "Storage unit". Two locations cannot share a name.
- Short code (optional), a quick tag like "VAN_2". Letters, numbers, dashes, and underscores only. Useful when you import a spreadsheet.
- Location type: Shop, Storage or warehouse, or Service vehicle.
- Assigned team member (optional), whose van it is.
- Default inventory location, tick this on the one place KeyBolt should assume when nothing else says otherwise. You get one default.
- Active location, leave this ticked. See below.
- Tap Save.
The One KeyBolt Keeps for Itself
KeyBolt keeps a location of its own called In transit. When stock leaves the shop for a van and nobody has confirmed it arrived yet, it sits there. Stock in transit is not available anywhere, which is the point: it stops you promising a deadbolt that is currently in the back of somebody's van. You cannot add it, edit it, or count it. Retiring a Location
You cannot delete a location, and one that still holds stock cannot be retired at all. Move the stock out first, then open the location and untick Active location. It disappears from the pickers and gets an Archived tag, so every past movement still says where it happened.
