In-App Notifications

Stay on Top of Everything

KeyBolt's in-app notification system keeps you informed about important events in real time, without constantly checking every tab. The bell icon in the top-right corner of your dashboard header shows a badge with your unread notification count. When something happens that needs your attention, the count updates instantly.

Viewing Notifications

Click the bell icon to open the notification panel. You'll see a list of recent notifications, newest first. Each notification includes:

  • A short description of the event (e.g., "Sarah approved estimate EST-0042")
  • A timestamp showing when it happened
  • An icon indicating the event type

Click any notification to navigate directly to the related item: the estimate, invoice, job, customer, or inventory item. This is the fastest way to jump to something that just happened.

Some of what you'll see in the bell:

  • New job assigned, when a job is dispatched to you. This is the one your techs care about most.
  • Added to a job's tech team, when someone puts you on a job as a helper.
  • Added to a conversation, when a teammate brings you into a Colab in the Inbox.
  • Estimate approved or declined, when a customer responds to an estimate you sent.
  • Payment received, when a customer pays an invoice online via Stripe.
  • Job completed, when a tech marks a job as complete.
  • New customer, when a customer record is created (useful for multi-tech shops).
  • Low stock alert, when an inventory item falls below your set threshold.
  • Missed call, when a call comes in and nobody answers. This needs your own business line, which is part of KeyBolt Pro.
  • New online order, when your online store takes an order.

The bell shows everything KeyBolt records for your shop, so you may see other kinds of alerts too. Click any of them to jump straight to the job, invoice, customer, or conversation it is about.

The Same Alerts on Your Phone

These events can also buzz your phone through the KeyBolt app, with a separate on or off switch for each one. See Notifications on Your Phone.

  • Estimate approved or declined, when a customer responds to an estimate you sent.
  • Payment received, when a customer pays an invoice online via Stripe.
  • Job completed, when a tech marks a job as complete.
  • New customer, when a customer record is created (useful for multi-tech shops).
  • Low stock alert, when an inventory item falls below your set threshold.
  • Missed call (Pro), when a caller hangs up or leaves a voicemail.
  • Bill could not be delivered, when a customer's email bounces.
  • Store order received, when someone buys from your online store.
  • Service agreement needs attention, when a recurring bill could not be created.
  • AI permission needed, when something tried to use AI and it is switched off.
  • Reconnect QuickBooks or Square, when a connection needs signing in again.

Clearing Notifications

To clear the unread badge, tap Mark all read at the top of the notification panel. Individual notifications are marked as read when you click on them. Read notifications remain in the panel for reference but no longer count toward your badge number.

Email Notifications

In-app notifications always appear in the bell icon panel. Email notifications are optional and configurable per event type. Go to Settings > Notifications to toggle which events also send you an email. For example, you might want email alerts for payments received but not for new customers. In-app notifications are always on regardless of email settings.

Only the shop owner can open Settings > Notifications. These switches control the whole shop, so managers, dispatchers, techs, and bookkeepers won't see the tab at all. If you need one changed, ask your owner.

Customer SMS Notifications (KeyBolt Pro only)

On the KeyBolt Pro tier, KeyBolt can also send text messages to your customers during the job lifecycle. These are toggled separately in Settings > Notifications under the "Customer SMS" section. Texts only start going out once your A2P 10DLC registration is approved by the carriers. Until then the switches save but nothing sends, and the tab links straight to Phone & SMS so you can check where the registration is up to.

  • On My Way, texts the customer when you tap "Start Route" with your ETA.
  • Arrived, texts the customer when you tap "Arrived" to let them know you're on site.
  • Appointment reminder, automatically texts customers 24 hours before a scheduled job.
  • Invoice payment link, texts the customer the payment link when you send an invoice.

Customers can reply STOP at any time to opt out, and KeyBolt blocks future texts to opted-out numbers. You can turn any of these notifications off individually if you prefer to handle communication differently.

Tip: If invoices are the only thing you want in your inbox, leave Invoice paid and Invoice overdue on and switch off Low stock alerts and Estimate approved or declined. Everything still shows up in the bell either way.
