Choose What Happens When Your Shop Rings

Three Steps, In Order

Tap Phone & SMS in the left sidebar, then the Call flow tab. On a phone, tap More, then Phone & SMS. Every change saves on its own, so there is no Save button to hunt for.

The tab walks through what happens to a call, in the order it happens:

  1. A greeting plays. The first thing every caller hears.
  2. We try your team. Every on-duty tech rings.
  3. If nobody picks up. Voicemail, forward to another number, or the AI receptionist.

Step 1: The Greeting

Type what you want callers to hear. It starts as a short recording notice: "This call may be recorded for quality and training."

Important: Keep a recording notice in your greeting. Every call answered on your KeyBolt line is recorded, and some states require both sides to be told.

Under the greeting box is a speed slider that runs from half speed to double speed. Slow it down if callers talk over the recording notice. Speed it up if you want them reaching a person sooner. The number on the right shows the current setting.

Step 2: How Long the Phones Ring

A slider sets the ring window, from 8 to 60 seconds. It starts at 30. That is how long your on-duty techs ring before step 3 fires.

Only techs scheduled to be working right now, and not on time off, get the call. Set that in Phone & SMS under Tech availability. Outside your team's scheduled hours, step 3 fires straight away with no ringing at all.

Step 3: When Nobody Picks Up

  • Voicemail. The default. The caller leaves a message and it lands in your Inbox.
  • Forward to a different number. Rings a number you type in, like your personal cell. Clear the number and KeyBolt flips you back to voicemail so calls never fall into a gap.
  • AI agent. The AI receptionist answers, gathers what you need, and writes you a draft job. This choice stays locked until the AI is set up. See Set Up the AI After-Hours Receptionist.

The Spam Filter

Under the three steps is one checkbox: Skip ringing for calls flagged as spam. Telnyx checks every inbound call against its carrier spam list. With this on, anything flagged "SPAM LIKELY" goes straight to voicemail instead of ringing your team. It is off until you turn it on. Fewer bot calls also protects your Google LSA answer rate.
