Inventory Reports

Where They Are

Inventory has its own reports page, and it is not one of the twelve tabs on the Reports page. Find it at Inventory, then Reports.

It needs the same permission as Reports, so owners, managers, dispatchers, and bookkeepers can open it. Techs cannot. Pick the period at the top: last 30 days, last 90 days, or last 12 months. It opens on the last 90 days. This is on both plans, Basic and KeyBolt Pro.

What It Answers

  • Company stock used, how many units came off your shelves on jobs, standalone bills, and store sales.
  • Received, how many units came in, and how many movement records there are behind it.
  • Stockouts, how many times you ran a location to zero, plus how many items are low right now.
  • Inventory value, what your stock is worth at cost, right now. Owners, managers, and bookkeepers see this; a dispatcher sees available units instead.

Underneath those four numbers:

  • Movement breakdown, every reason stock moved and how much moved for each.
  • Low-stock and stockout time, how long items actually sat below their minimum.
  • Current stock by location, what is in each van and at the shop.
  • Job material usage, broken out three ways: by customer, by tech, and by the location the stock came from.
  • Recorded job material margin, what you billed for parts against what they cost you.
  • Most-used items and Dead stock, the two lists that tell you what to keep buying and what to stop.
  • Supplier receiving history, what came from who.
This is not the Inventory tab in Reports. That tab is one table: items used and what they cost. This page is the whole picture, including what your stock is worth and what is sitting there not selling. Different question, different screen.
