Service Agreements

Recurring Revenue from Commercial Accounts

Property managers and commercial clients often want a maintenance contract: a standing agreement for regular lock service at a set price. KeyBolt's service agreements let you create these contracts and automatically invoice at the agreed interval, turning one-time customers into predictable monthly revenue.

Creating a Service Agreement

  1. Open a customer's profile (typically a property manager or commercial account).
  2. Find the Service Agreements section and tap Add. A New Service Agreement dialog opens.
  3. Fill in the agreement details:
    • Agreement Name, e.g., "Oakwood Apartments Monthly Maintenance."
    • Description, free text describing what the agreement covers. This is where you spell out the scope, for example "Monthly lock inspection of all common areas, plus up to 2 lockout responses."
    • Amount ($), one flat price billed each interval. An agreement is a single recurring charge, not a list of line items.
    • Billing interval, Monthly, Quarterly, Every 6 months, or Annually.
    • Next Billing Date, when the next invoice should be generated.
    • Billing Automation, two switches: Auto-generate invoice (on to start) and Auto-send to customer (off to start, and grayed out until Auto-generate is on). A colored banner above them says in plain English what will happen each cycle.
  4. Tap Create Agreement.

There's no end date. An agreement runs until you pause or cancel it.

Automatic Invoicing

Once a day, KeyBolt looks at every active agreement. Two switches decide what happens, and between them they give three outcomes:

  • Draft for review (Auto-generate on, Auto-send off), what a new agreement starts on. KeyBolt creates a draft bill and leaves it on your Invoices page. Nothing reaches the customer until you open it and send it. Good if you like to eyeball every bill.
  • Fully automatic (both on), KeyBolt creates the bill and emails it to the customer for you. This needs the customer to have an email address on file and your shop to have Stripe connected.
  • Manual (Auto-generate off), KeyBolt skips the agreement. Nothing is created and you bill by hand.

A colored banner above the two switches names which of the three you are on, so you can check it at a glance.

One thing to watch: auto-billing pauses if your own KeyBolt subscription lapses. Get your billing current and it picks up again on the next daily run.

Managing Agreements

From the customer's profile, you can:

  • Edit the agreement: change the amount, the description, or the billing interval. Changes apply to the next billing cycle.
  • Pause, temporarily stop invoicing without deleting the agreement.
  • Cancel, end the agreement. All historical invoices are preserved.
Tip: Service agreements are a great way to lock in property managers. Offer a slight discount on the per-visit rate in exchange for a 12-month contract. The guaranteed monthly revenue is worth more than the small discount, and PMs love predictable costs.
