Send a Customer a Statement
A statement is one document covering everything a customer was billed, paid and credited over a date range you pick. It is what a property manager asks for when they want a single sheet instead of nine separate bills.
Making One
- Go to Customers and open the customer.
- Tap Statement.
- Pick a From and a To date.
- Tap Generate on a computer, or Build statement in the KeyBolt app.
What Is On It
- Every bill in the range: number, date, status, total, what has been paid against it, and what is left.
- Every payment in the range: date, amount, and how they paid.
- Every credit in the range.
- Totals across the top: total invoiced, total paid, credits, and the balance.
- Your shop name, phone, email, address and logo.
Bills you voided or wrote off are shown and marked as such, so the customer can see them and knows there is nothing to pay on them.
Handing It Over
On a computer, tap Print. Your browser's print window will save it as a PDF, which you then email to whoever handles their bills. In the KeyBolt app, tap Share PDF and send it however you normally share a file.
It Only Reads
A statement changes nothing. It does not send anything to the customer on its own, it does not mark a bill as chased, and it does not move a balance. It is a snapshot you choose to hand over.
Who Can Open It
You need permission to see a customer's money for the Statement button to show at all. Owners, managers, dispatchers, bookkeepers and front desk have it. A tech does not.
